TERMS & CONDITIONS
1. Introduction
These Terms & Conditions govern all bookings made with ICONS (“we”, “us”, “our”).
By confirming a booking, you acknowledge and agree that ICONS experiences are curated, access-driven and time-sensitive, with elements secured in advance on your behalf.
A binding agreement is formed upon receipt of a deposit or full payment.
2. Nature of the Experience
ICONS provides curated travel and sporting experiences, not standardised travel packages.
You acknowledge that:
- Experiences are dynamic and may evolve
- Access, venues, hospitality formats and inclusions may vary
- The experience is delivered as a complete journey, not by reference to any individual component
ICONS services are performed progressively from the time of booking, including planning, supplier engagement and securing limited-access components.
A “major failure” does not include changes to individual components where the overall experience is delivered in a substantially similar or enhanced manner.
No refund will be provided for subjective dissatisfaction, change of preference or unmet expectations where the experience has been delivered substantially as described.
3. Our Role
ICONS acts as a curator and coordinator, engaging third-party providers including accommodation, airlines, transport providers, event organisers and hospitality venues.
Where services are supplied by third parties, those services are taken to be provided directly to you by the relevant supplier.
To the extent permitted by law, ICONS’ liability is limited to the coordination and booking of those services, and any liability in respect of third-party services is limited to the amount paid by ICONS to that supplier.
4. Pricing, Inclusions & Representations
6. Cancellations & Refunds
ICONS experiences involve advance commitments, limited availability and unrecoverable costs.
You acknowledge that cancellation terms reflect a genuine pre-estimate of loss and are not a penalty.
6.1 Cancellation by You
All cancellations must be made in writing.
- More than 60 days prior → Deposit forfeited
- 60–30 days prior → Minimum 50% retained
- Within 30 days → 100% retained
No refunds will be provided for:
- Change of mind
- Personal circumstances
- Inability to travel
- Visa or documentation issues
- Schedule conflicts
6.2 No Show / Unused Services
Failure to utilise any part of your experience will result in 100% forfeiture.
No partial refunds will be provided.
6.3 Third-Party & Event Variability
Event schedules, race meetings, hospitality formats and access conditions are controlled by third parties and may change without notice.
Such changes do not constitute a major change and are not grounds for refund.
6.4 Supplier Changes or Cancellations
Where a supplier alters or cancels a component:
- ICONS may substitute with a comparable or higher-value alternative
- If no substitute is available, refunds are limited to amounts recoverable from the supplier
ICONS is not required to absorb third-party costs.
6.5 Force Majeure
ICONS is not liable for failure or delay due to events outside our control.
Refunds in such circumstances are limited to amounts recoverable from suppliers, less unrecoverable costs.
6.6 Cancellation by ICONS
If ICONS cancels an experience:
- A refund will be provided less unrecoverable third-party costs, or
- A credit or alternative may be offered
6.7 Refund Administration Fee
Where a refund is issued, ICONS may retain a reasonable administration and management fee of up to 20% of the total booking value.
This reflects costs incurred in planning, coordination and securing the experience and is a genuine pre-estimate of loss.
Refunds are limited to amounts recovered by ICONS, less this fee.
This clause does not apply where a refund is required under Australian Consumer Law.
6.8 Minor Changes
ICONS is not required to provide refunds for minor or immaterial changes, including substitution or modification of individual components where the overall experience remains substantially intact.
- All pricing is in AUD unless otherwise specified
- Pricing is subject to availability at time of booking
- Only inclusions expressly listed in your confirmed itinerary are included
ICONS reserves the right to substitute components with equivalent or higher-value alternatives where required.
Images, descriptions and promotional material are indicative only and may not reflect the exact experience delivered.
References to “exclusive”, “premium”, “luxury” or similar descriptors are indicative in nature and do not constitute guarantees of specific conditions or outcomes.
Access levels, seating, venues and hospitality formats are subject to change unless expressly confirmed in writing.
5. Payments
Deposit
A deposit is required to secure your booking and is strictly non-refundable, except where required by law.
Final Payment
Full payment must be made by the specified due date.
Failure to pay may result in cancellation and forfeiture of all funds paid.
7. Amendments
Changes requested by you are subject to availability and may incur fees or be treated as a cancellation.
8. Travel Insurance
Travel insurance is strongly recommended and considered essential.
Failure to obtain insurance does not entitle you to a refund.
9. Itinerary Changes
ICONS reserves the right to modify itineraries to maintain the quality and integrity of the experience.
Such changes do not constitute a breach of contract.
10. Guest Responsibility
Guests must comply with applicable laws and behave respectfully.
ICONS may remove any guest whose behaviour impacts others. No refund will be provided.
11. Liability
Nothing in these Terms excludes rights under Australian Consumer Law.
To the extent permitted by law, ICONS is not liable for indirect or consequential loss.
12. Privacy
Personal information may be shared with suppliers for the purpose of delivering your experience.
13. Governing Law
These Terms are governed by the laws of New South Wales, Australia.
Nothing in these Terms excludes, restricts or modifies any rights or remedies available under the Australian Consumer Law or any other applicable legislation.
14. The ICONS Approach
ICONS experiences are curated, access-driven journeys designed to place guests inside the theatre of world-class sport.
Once confirmed, elements of your experience are secured and often cannot be replicated or resold.
